Our Professional Coordinator role ensures high-quality, timely collaboration with local professional service providers (plumbers, HVAC technicians, real estate agents, senior transportation services, and others) to create seamless client experiences that prioritise safety, dignity, and well‑being.
Position Summary: We are seeking an organised, client-focused Professional Coordinator to manage relationships and service delivery with external professional partners across the Niagara Region. The Coordinator will plan, schedule, and monitor services, act as the primary liaison between clients, families, and vendors, and ensure excellent client experience through proactive communication, problem resolution, and quality assurance.
Key Responsibilities
Coordinate and schedule professional services (plumbing, HVAC, real estate-related work, senior transportation, maintenance, etc.) based on client needs, timelines, and safety requirements.
Serve as primary point of contact for clients, family members, internal care teams, and external vendors; communicate appointment details, scope of work, and any special client considerations.
Maintain and grow a vetted network of reliable professional service providers across the Niagara Region; perform onboarding checks such as licences, insurance, references, and background screening as required.
Obtain and compare quotes, negotiate service terms and pricing within approved guidelines, and support budget-conscious decision-making while maintaining quality.
Monitor service delivery: confirm arrival times, supervise site access when required, follow up on completed work, document outcomes, and escalate issues when standards are not met.
Coordinate logistical details for senior transportation services, ensuring accessibility, comfort, and timeliness for medical appointments, social activities, and community access.
Prepare and maintain accurate service records, client authorisations, incident reports, invoices, and vendor performance evaluations in compliance with company policies and privacy legislation.
Collaborate with internal care coordinators and case managers to align professional services with individual care plans and home-safety assessments.
Implement continuous improvement practices: gather client and family feedback, track service metrics (timeliness, satisfaction, resolution rate), and recommend partnership or process changes.
Ensure adherence to health and safety regulations, client confidentiality (PHIPA/PIPEDA awareness), and infection prevention protocols during in-home services.
Qualifications
Post-secondary diploma or degree in Community Services, Health Administration, Business Administration, Facility Management, or related field preferred.
2+ years of experience coordinating services or working with vendors in home care, property management, social services, real estate support, or a related environment.
Strong knowledge of local service provider landscape in the Niagara Region is an asset.
Excellent communication and interpersonal skills; empathetic approach to working with seniors and families.
Proven organisational and time-management skills; ability to prioritise multiple concurrent requests.
Comfortable managing logistics, comparing quotes, and basic contract terms.
Competence with scheduling software, CRM systems, Microsoft Office (Outlook, Excel, Word); ability to learn proprietary systems.
Valid Ontario driver’s licence with a clean driving record and reliable vehicle; ability to travel across the Niagara Region.
Vulnerable sector check and clear background screening required.
Bilingual (English and Punjabi/Hindi) is an asset but not required.

Compensation and Benefits
Hourly pay: $18–$25, depending on experience and skills.
